Tips for Cost Effective Data Entry

Utilise our Royal Mail PO boxes, to ensure that your data is received, opened and captured quickly.   This also takes away the cost of carriage of your documents to us.
Beware of gummed edges. If data is too close to the gummed edge the information is at risk when the edges are separated. Gummed responses add extra cost to opening and can often cause several responses to stick together.
The design of the document should be simple, clear and easy to follow. Keep text/questions on the left and response boxes on the right; where possible align the response boxes vertically to assist capture.
When you wish to capture name and address details ensure that you leave adequate space for long surnames and long addresses. Always ‘fence-off’ a separate adequate space for the postcode, especially if it is hand-written.
Keep plenty of space around and between question text and response boxes. This not only helps initial legibility but it assists accurate data capture too.
When seeking an opinion - e.g. strongly agree, agree, indifferent, disagree, strongly disagree, you can also add ‘other’ which can be counted as Other, N/A or Don’t Know.
Tick box responses provide unambiguous data which is easy to capture and evaluate.
As an alternative to ‘Free Text’ provide a tick-box list of possible options or choices. ‘Free Text’ responses, where opinions or personal preferences can be hand-written, should be kept to a minimum if budget, accuracy, time, and interpretation are important issues.
Avoid open-ended, ambiguous questions that might be interpreted incorrectly, use options list where possible.
